This policy explains what personal information we collect, why we collect it, how we store and protect it, and what your rights are. It applies to information collected through our website (skyspectra.com.au), contact forms, email correspondence, phone communication, and aerial data capture operations.
We are committed to handling personal information in accordance with the Australian Privacy Principles under the Privacy Act 1988 (Cth), the Queensland Information Privacy Act 2009, and the Australian Government Drone Privacy Guidelines.
We collect only the personal information necessary to respond to your enquiry and deliver our services. This may include your name, company name, email address, phone number, site address and location details, and asset information you provide to us.
We do not collect sensitive information such as health data, financial details, or government identifiers unless specifically required for a contract and with your consent.
We collect personal information directly from you when you submit an enquiry through our website contact form, email us at info@skyspectra.com.au, call us on 0493 621 632, or provide site and asset details during the quoting process.
We do not collect personal information from third parties unless you have directed them to share it with us.
SkySpectra conducts aerial thermal and RGB data capture over commercial and industrial assets. Our operations are conducted under CASA regulations on sites where we have been authorised to fly by the asset owner or their representative.
We do not conduct surveillance or capture data over residential properties. However, aerial capture may incidentally record identifiable information such as vehicle registration plates, individuals present on or near the site, or features of adjacent properties visible from the air.
Where incidental personal information is captured, we take reasonable steps to de-identify or exclude it from deliverables. Any incidental personal information that cannot be excluded is handled in accordance with this policy and destroyed when no longer required.
Before each operation, we confirm authorisation from the asset owner or site controller. All flights are logged in compliance with CASA requirements.
We use personal information to respond to enquiries and provide quotes, deliver aerial data capture services, communicate with you about your project or account, comply with CASA flight logging and regulatory requirements, meet our legal obligations, and improve our services.
We will not use your personal information for direct marketing without your consent. We do not sell, rent, or trade personal information to third parties.
We may share personal information with the following third-party service providers who assist us in operating our business:
Zoho Mail (email hosting and communication), Webflow (website hosting and contact form processing), and Xero (invoicing and payment). These providers may store data on servers located outside Australia. We select providers with appropriate privacy and security practices, but we encourage you to review their privacy policies directly.
We may also disclose personal information where required or authorised by law, including to CASA, the Office of the Australian Information Commissioner (OAIC), or law enforcement agencies.
We do not share client asset data or aerial capture deliverables with anyone other than the client unless directed by the client in writing.
Personal information is stored securely using password-protected systems and cloud-based platforms with appropriate access controls. Access to personal information is limited to personnel who require it to perform their role.
Aerial capture data, including thermal and RGB imagery, is stored on secure local and cloud storage with access limited to authorised personnel. Retained copies are stored securely and destroyed when no longer needed for service delivery or regulatory compliance. Ownership and usage rights over client asset data are set out in the applicable Service Agreement.
We retain personal information only for as long as it is needed for the purpose for which it was collected, or as required by law. Enquiry data from contact forms is retained for up to 12 months unless the enquiry leads to a client engagement. Client project data, including flight logs, is retained for the duration of the client relationship plus a reasonable period for regulatory and warranty purposes. When personal information is no longer required, we take reasonable steps to destroy or de-identify it.

Webflow may collect limited technical data such as IP address, browser type, and pages visited for the purpose of website hosting and performance. We do not use this data for marketing or profiling purposes. For more information, refer to Webflow's privacy policy at webflow.com/legal/privacy.
You have the right to request access to the personal information we hold about you, request correction of any inaccurate or incomplete information, request deletion of your personal information where it is no longer required, and withdraw consent for any use of your information where consent was the basis for collection.

In the event of a data breach that is likely to result in serious harm to any individual whose personal information is involved, we will notify the affected individuals and the Office of the Australian Information Commissioner (OAIC) as soon as practicable, in accordance with the Notifiable Data Breaches scheme under Part IIIC of the Privacy Act 1988.
